What should an Express Entry reference letter include?

IRCC asks for reference letters that show your job duties, the dates you worked there and your salary. In practice, officers also expect the letter on company letterhead, with the company’s address, phone and email, your job title for each position, your hours per week, your benefits, and the name, title and signature of your supervisor or someone in HR. The duties should match the lead statement and most of the main duties of your NOC code, written in the employer’s own words rather than copied from the NOC.

What the letter needs to show

IRCC names three things. The rest is what officers look for when they check that the letter is real and complete.

What an Express Entry reference letter should show
ItemWhy it matters
Your job duties (named by IRCC)The officer compares them with the lead statement and main duties of the NOC code in your profile.
Dates you worked there (named by IRCC)Start and end dates, or that you still work there, for every position you held.
Your salary (named by IRCC)The yearly, monthly or hourly pay, plus benefits. It should match your pay stubs and tax slips.
Hours per weekA number, such as 37.5. It decides how many hours count toward each year of experience.
Job title and statusEach position you held, and whether the job is full-time or part-time, permanent or temporary.
Company letterhead and contact detailsThe company name, address, phone and email, so the officer can verify the letter.
Name, title and signature of the signerYour supervisor or someone in HR, with the date it was signed.

From your job details to a signed letter

  1. Fill in the job

Your title, dates, hours, pay and benefits for each position you held at the company. Choose your NOC code, or find it from your duties.

  2. Describe your duties

One per line, in your own words. The generator checks them against the lead statement and main duties of your NOC code and warns you about any line that reads like the NOC text.

  3. Polish, if you like

An optional AI rewrite turns rough notes into clear duty statements. It only uses what you wrote: lines that add numbers you never gave, or copy the NOC, are left out.

  4. Send it to your employer

Download the Word file. Your employer checks every detail, corrects anything that is not exact, prints it on letterhead and signs it.

Match the NOC duties without copying them

Officers look for

  • Duties that cover the lead statement and most of the main duties of your NOC code.
  • Specific details: what you worked on, with what tools, for whom, how often.
  • The same duties, dates and pay as your resume, contract and pay stubs.

Officers question

  • Duties copied word for word from the NOC description.
  • A letter that lists only your title and dates, with no duties.
  • “Full-time” instead of a number of hours, or a salary range instead of your pay.

When you need the letter

You do not upload reference letters to create your Express Entry profile. You need them when you apply for permanent residence after an invitation, and you have 60 days from the invitation to submit everything. Employers can take weeks to sign, so it helps to ask early.

You need a letter from each employer whose work you claim, covering every position you held there. For the Canadian Experience Class, that means enough skilled work in Canada to reach 1,560 hours. Count your hours, and see what your Canadian work is worth.

If your employer will not write one

Closed companies, unhelpful employers and lost contacts are common. You can still prove your work with a letter of explanation, pay records, tax slips, contracts and a sworn statement of your duties. What to do without a reference letter.

Where this information comes from

IRCC’s supporting documents page lists reference letters from employers “with your job duties, dates you worked there, and salary” as proof of work experience, and the Express Entry documents page asks for proof of work experience such as a reference or experience letter from an employer. The other items in our checklist are what officers expect to see in practice and what immigration lawyers advise; IRCC publishes no official letter form.

The generator’s duty check uses Statistics Canada’s National Occupational Classification (NOC) 2021 Version 1.0. This does not constitute an endorsement by Statistics Canada of this product.

CVMaple is not affiliated with IRCC and does not give legal advice. A reference letter must be checked, corrected and signed by your employer, and every detail must be true. Misrepresentation on an immigration application can lead to a five-year ban.

Frequently asked questions

Is this reference letter generator free?

Yes. Building, downloading, copying and printing the letter are free and need no account. The optional AI rewrite of your duties has a daily limit per visitor.

Can I write my own reference letter?

You can prepare the draft, and many people do, because employers are busy. Your employer must then check it, correct anything that is not exact, put it on letterhead and sign it. The letter is their statement, not yours.

Should the letter include my NOC code?

It does not need to. You choose the NOC code in your profile; the letter has to describe duties that match it. Many employers do not know NOC codes, so the generator uses the code only to check your duties.

Can I copy the duties from the NOC website?

No. Officers treat duties copied from the NOC description as a warning sign. Describe what you actually did in plain words, covering the lead statement and most of the main duties.

Who should sign the letter?

Your direct supervisor or someone in human resources, with their name, job title and contact details. If the person who signs is not your supervisor, the letter should still describe your duties accurately.

What if I had more than one job at the same company?

List every position you held there in one letter, each with its own title, dates, hours, salary and duties. The generator lets you add up to four positions.

Does the letter need a salary?

Yes. IRCC names salary as one of the things a reference letter should show. Give the actual pay, with benefits, so it matches your pay stubs and tax slips.

What if the letter is not in English or French?

IRCC needs documents in other languages to come with an English or French translation that meets its translation rules. It is often simpler to ask your employer for the letter in English.

Is my information stored?

Your details are saved in your browser only, so you can come back to the draft. If you use the AI rewrite, only your duty notes, job title and NOC code are sent to our server; never names, pay or contact details.

CVMaple turns the duties in your letter into a Canadian resume with the format and keywords employers expect, so your applications tell one story.
