How to write a medical office assistant resume in Canada
A medical office assistant, also called a medical secretary, medical receptionist or medical office administrator, keeps a doctor's office or clinic running. The job mixes front desk work with health records and billing, and Canadian clinics hire for the specific systems. The first question an office manager asks is which electronic medical record you have used, so name it: Accuro, OSCAR Pro, TELUS PS Suite, Med Access or another.
Billing is the second question. Each province runs its own health insurance plan, so experience with OHIP billing in Ontario, MSP in British Columbia or Alberta Health Care claims is worth spelling out. If you have fixed rejected claims, filled in WSIB or WCB forms, or handled third-party billing for sick notes and insurance forms, say so. Those are the tasks that cost clinics money when they go wrong.
Health information is private, and clinics need to trust you with it. Mention training in privacy law, such as PHIPA in Ontario, and keep any example about patients free of names or details. A medical office assistant diploma, a medical terminology course and a solid typing speed round out the picture.

Skills to put on a medical office assistant resume
List the hard skills first, because they are what screening software and hiring managers search for. Keep soft skills to the ones a bullet point further down can back up.
Hard skills
- EMR systems (Accuro, OSCAR Pro, TELUS PS Suite)
- Provincial billing (OHIP, MSP, AHCIP)
- Appointment booking and triage
- Health card validation
- Referrals and requisitions
- Medical terminology

Soft skills
- Discretion
- Compassion

Words to mirror from the job posting
Employers and their screening software look for the words they used in the ad. When one of these appears in a posting and it is true for you, use the same wording on your resume.

- MOA
- medical receptionist
- EMR
- OHIP billing
- medical terminology
- scheduling

Work experience bullet examples
Each one starts with what you did and ends with a result. Keep the shape and put your own numbers in.
- Booked and checked in 70+ patients a day for a 5-physician family practice using Accuro EMR
- Submitted OHIP claims weekly and cut the rejected claim rate from 6% to under 2% by fixing codes before submission
- Processed 30+ referrals a week, following up with specialists so no patient waited without a booked date
- Scanned and filed lab results, consult notes and imaging reports into patient charts the same day
- Managed third-party billing for sick notes, insurance forms and WSIB reports, bringing in $2,400 a month
- Validated health cards at every visit, catching expired cards before claims were rejected
- Trained 3 new front desk staff on the EMR, booking rules and privacy procedures
Certifications and licences that help
Write each one out in full with the issuing body and the date. An employer should never have to guess what an acronym means or whether it has expired.
- Medical Office Assistant diploma or certificate: A college program is the usual route into the job. Include the school, year and any clinical placement.
- Medical terminology course: Worth listing on its own if you took it separately from a diploma, since clinics screen for it.
- Privacy training (PHIPA or your province): Clinics must protect health information. A course or in-house privacy training shows you understand the rules.
- Standard First Aid and CPR: Common in clinics, where front desk staff may be the first to respond.
What recruiters wish you knew
Name the EMR in your summary
Clinics search for Accuro, OSCAR Pro or PS Suite by name. If you have used one, it belongs in the first two lines, not only in the skills list.
Show billing with a number
Rejected claims cost clinics money. A bullet that shows you cut the rejection rate, or handled a weekly volume of claims without errors, is one of the strongest things an MOA resume can say.
Talk about patients without naming them
You can describe a difficult phone call or a busy flu clinic without a single detail that identifies anyone. Doing so shows the discretion you are being hired for.
The section order for a medical office assistant resume
Top to bottom, in the order a hiring manager in this field wants to read it.
- Contact details. City, phone, email and a LinkedIn link if yours is up to date.
- Professional summary. Your role, years of experience and the area or software you know best.
- Skills and software. Programs and systems by name, plus the languages you work in.
- Work experience. Volume and accuracy numbers in every role.
- Education and designations. Diploma or degree, and designations such as CPA.
- Certifications. MOS, QuickBooks or other courses, with the year.
What recruiters check first
The software you use every day (Excel, Outlook, QuickBooks), accuracy, and the volume you handled. Where to put it: Skills, then numbers in your bullets.
Common mistakes on medical office assistant resumes
These come up again and again, and each one is quick to fix.
Not naming the EMR
Accuro, OSCAR Pro, PS Suite and Med Access all work differently. A clinic that runs the one you know will move you up the pile, so name it.
Leaving billing off the page
Billing brings money into the clinic, so a physician reading your resume cares about it. Mention OHIP or your provincial plan, third-party billing and your rejected claim rate if you know it.
Using patient stories as examples
Never name a patient or describe a case someone could recognize. Show that you understand privacy instead, with a line on PHIPA or your province's health privacy rules.
Before you send it
Six quick checks. Each takes less than a minute.
- The job title in your summary matches the one in the posting.
- Every certification is written out in full, with the issuing body and the expiry date.
- At least half of your bullets include a number.
- There is no photo, date of birth, marital status or SIN.
- It is saved as a PDF, unless the posting asks for a Word file.
- You ran it through the free resume check and fixed what it found.
Medical Office Assistant resume FAQ
What should a medical office assistant resume include?
Your EMR experience, your provincial billing experience, medical terminology, typing speed and the patient volume you handled. Put your MOA diploma and any privacy training near the top, and keep it to one page unless you have many years in several clinics.
What EMR should I list on my resume?
List every one you have used, by name. Accuro, OSCAR Pro, TELUS PS Suite and Med Access are common in Canadian clinics. If you have only used one in a college course or placement, it still counts. Say where you used it.
How do I get a medical office assistant job with no experience?
Lead with your MOA diploma and your clinical placement, then show customer service work where you handled phones, bookings or payments. Clinics value calm, careful people, so a bullet about staying organized during a rush can matter as much as clinic experience.
Is a medical office assistant the same as a medical receptionist?
Mostly. Clinics use medical office assistant, medical secretary, medical receptionist and medical office administrator for similar jobs. Use the exact title from the posting in your summary so the resume matches what the employer searches for.
Should I include typing speed on an MOA resume?
Yes. Many clinics still type letters, referrals and dictation. List your speed in words per minute, such as 60 WPM, and mention medical transcription if you have done it.
What skills should a medical office assistant put on a resume?
EMR charting, provincial health billing, appointment booking and triage, referrals, health card validation, medical terminology and privacy practices. For soft skills, pick discretion, compassion, composure and attention to detail.
